Privacy Policy
Last updated: 18 October 2026
The short version: your site diary is yours. We collect only what's needed to record, write up and protect your diary. We never sell your information, and we don't use your recordings for advertising. You can ask us to delete your data at any time.
1. Who we are
SiteMic is operated by Joshua James Keble, a sole trader trading as SiteMic (ABN 83 172 599 139), based in Victoria, Australia ("we", "us"). We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). Contact us any time at [PRIVACY EMAIL].
2. What we collect
If you join the waitlist (this website):
- Your email address and the role you select (for example, builder or site supervisor).
- Your referral code, and the code of anyone who referred you.
- How you found us: the page you signed up on, the website that sent you, and ad campaign tags (for example "utm_source").
- If we run ads, a Meta (Facebook) Pixel may record that you visited and signed up, so we can measure our ads. See section 6.
If you use the app:
- Voice clips you choose to record, and the text transcripts made from them.
- Diary entries you create, edit and lock, including the jobs, delays, notes and edit history in them.
- Photos you add to your diary.
- Location (GPS), only while you're using the app, to stamp clips and photos and to look up the weather at your site. You can turn this off in your iPhone settings.
- Job details you enter, such as site addresses and client names or emails.
- An anonymous account ID that lets the app talk to our servers securely, and basic technical information needed to run the service.
- Subscription status (for example, whether you're on a trial). Payments are handled by Apple; we never see your card details.
The app only records audio when you tap the record button. It never listens in the background.
3. How we use it
- To turn your voice clips into text and write up your diary entries.
- To add weather information, time stamps and location to your records.
- To create the PDFs and reports you choose to share.
- To run the waitlist: send launch news, your waitlist position and founding member offers, and track referrals.
- To understand which of our ads and pages work, and to improve the product.
- To provide support and keep the service secure.
We don't sell your personal information. We don't use your recordings, transcripts or diary entries for advertising.
4. Where your information is stored
Your voice clips, diary entries and photos are stored on your iPhone. To write up your diary, a clip is sent securely to our server for transcription and write-up. The finished text then comes back to your phone. Waitlist details are stored in our database.
5. Service providers we use
We use trusted providers to run SiteMic. They process information on our behalf, only to provide their service.
| Provider | What they do | Location |
|---|---|---|
| Supabase | Our database and servers (waitlist, secure app connection) | Japan |
| Deepgram | Turns voice clips into text | United States |
| Anthropic (Claude) | Writes up diary entries from your transcripts | United States |
| Open-Meteo | Weather for your site (receives your site's location only) | Europe |
| Apple | App distribution, payments and subscriptions | United States |
| Netlify | Hosts this website | United States |
| Loops | Sends our waitlist and launch emails | United States |
| Meta (if we run ads) | Measures ad performance through the Meta Pixel | United States |
Because some providers are overseas, your information may be stored or processed outside Australia. We take reasonable steps to make sure they protect it in a way consistent with the Australian Privacy Principles.
6. Cookies, analytics and ads
This website stores a small amount of information in your browser so it can remember that you've joined the waitlist. If we run ads, the Meta Pixel may use cookies to tell us when someone who saw an ad visited or signed up. You can block cookies in your browser settings and still join the waitlist.
7. Emails
If you join the waitlist, we'll email you about SiteMic: your spot, product updates and launch offers. Every email has an unsubscribe link, and you can opt out at any time.
8. How long we keep it
- Waitlist details: until you unsubscribe or ask us to delete them, or until the waitlist is no longer needed.
- App data on your phone: until you delete it or delete the app.
- Server processing: clips and transcripts sent for write-up are used only to produce your diary entry and aren't kept by us after that.
9. Security
Information is encrypted in transit. Our servers only accept requests from signed-in app installs, and our provider keys are never stored in the app. No system is perfectly secure, but we take reasonable steps to protect your information from misuse, loss and unauthorised access.
10. Recording other people
You're responsible for following the recording and privacy laws that apply where you work, including getting consent before recording conversations with other people where the law requires it. SiteMic is designed for recording your own notes about your day.
11. Your choices and rights
- Access and correction: ask us for a copy of the information we hold about you, or to correct it.
- Deletion: ask us to delete your waitlist details or any data we hold on our servers.
- Location and microphone: turn these off at any time in your iPhone settings.
Email [PRIVACY EMAIL] and we'll respond within 30 days.
12. Children
SiteMic is a business tool for adults and isn't intended for anyone under 18.
13. Complaints
If you have a privacy concern, contact us first at [PRIVACY EMAIL]. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
14. Changes to this policy
We may update this policy as SiteMic grows. We'll change the "last updated" date above, and for significant changes we'll let you know by email or in the app.
